Getting Started
This guide walks you through the basics of setting up NORDVEST for your company.
Accessing NORDVEST
Your company has a dedicated url: yourcompany.nordvestops.com. Bookmark this URL, it's your home base.
Logging In
You can log in with either your email address or username. Your tech's might not have emails so for them just use a username. As an admin you can set up either a username or an email for each user (or both).
Understanding Roles
NORDVEST has three user roles, each with different permissions:
| Role | What They Can Do |
|---|---|
| Admin | Everything! manage users, company settings, and all service operations |
| Service Manager | Record work, manage customers and assets |
| Technician | View customers and assets, and services |
Your role determines what you see in the navigation and what actions are available.
This is purposely simple. Big enterprise apps require ten levels with customization. Having a small service shop ourselves we've found that simple is better - and trusting our team goes a long way. Worse case, there's an audit-log so you can see who does what when...just in case.
Your First Steps
If you'd like to work with use to import your existing data, don't hesitate to reach out! We can help get you all set up with your existing data.
1. Add Your Customers
Start by adding your customers. For each customer, you'll capture:
- Company name and contact info
- Service address (where you send technicians)
- Business hours (optional—overrides your defaults)
- Internal notes (visible only to your team)

2. Add Their Equipment
For each customer, add their assets—compressors, dryers, filters, tanks, and other equipment. NORDVEST comes with pre-configured asset types and custom fields (but you can use or lose them - you're in control).
- Compressors — Piston, Rotary Screw, Vane, Scroll
- Dryers — Refrigerated, Desiccant
- Tanks — Receiver Tank
- Filters — Filter Housing
- Other — Blower, Vacuum Pump, and more

3. Track Components
Inside each asset, track the consumable parts:
- Oil filters and air filters
- Belts and drives
- Primary and secondary separators
- Oil
- Filter elements and desiccant
NORDVEST tracks when each was last changed and calculates when they're due based on service intervals that you can configure.

4. Set Up Service Agreements
For customers with PM contracts, create Service Agreements that define:
- How often to service (30, 90, 180, 365 days, or custom intervals)
- Service window flexibility (how many days plus or minus from the due date should you show up)
NORDVEST automatically tracks when each agreement is due, and when you can head there.

Day-to-Day Workflow
Once set up, your typical workflow looks like:
- Check Next Up — See what's overdue, due soon, and coming up
- Service Request comes in — Customer calls, you log it as a Service Request (a Service is created automatically)
- Record Work — Technician records hour readings and components serviced
- Close the Service — Mark work complete, add customer-facing summary
